Planning a hinterland wedding on the Sunshine Coast

Twelve months, counted backwards from the date, with the parts the country up here changes marked as you go. Everything below holds at any hinterland venue.

What the hinterland changes

A wedding on the range and a wedding on the coast strip are the same event with a different logistics problem behind it. The difference is distance and elevation, and both of them show up in your plan months before they show up on the day.

Guests drive further, which changes how you brief them. Weather at height behaves differently from weather at sea level, so a January afternoon can throw a storm that clears inside the hour. Suppliers charge for the trip. And the light, which is why most couples came looking up here, moves across a ridge fast enough to be worth timing your ceremony around.

None of that is a reason to book somewhere else. It’s a reason to make four decisions earlier than you would have.

Each one gets harder and more expensive the longer it sits. None of them is about styling.

The timeline, counted backwards

Read it from the top if you have a year. Start where you are if you don't, and pull everything above your entry point forward into the next fortnight.

  1. 12 months out

    Guest number first, venue second

    Settle roughly how many people you want there and what you're willing to spend before you look at a single venue. Both numbers decide which places are even possible, and couples who skip this step fall for a property that can't hold their list. Lock the date and the venue together, then the celebrant and the photographer, because those two book out further ahead than anyone expects.

  2. 9 to 12 months out

    Save the dates go out

    Send them early if any part of your list is flying in or driving up from Brisbane. Guests book flights and leave from a save the date, not from an invitation. Block accommodation at the same time: hinterland properties are small, and a guesthouse with six rooms fills long before a coastal hotel does.

  3. 6 to 9 months out

    Food, sound and what you're wearing

    Menu direction, the bar model, the band or the DJ, and outfits with fittings allowed for. Ask about noise limits now rather than later. Rural properties sit near neighbours who farm at first light, and a curfew you find out about in month two is a scheduling problem instead of a shock.

  4. 4 to 6 months out

    Invitations, transport, wet weather

    Invitations go out in this window with an RSVP date roughly a month before you need final numbers. Sort guest transport now: a rural address at eleven at night is not a coastal one, and a coach that costs less than the taxis people would otherwise chase. Get the wet-weather plan in writing while there is still time to change your mind about it.

  5. 3 months out

    Tasting, floor plan, run sheet

    Taste the menu, draw the floor plan against the actual room, and write the first run sheet. Hair and makeup trial belongs here too. Walk the property again at the time of day your ceremony starts, because light on a ridge in October is nothing like light on the same ridge in June.

  6. 2 months out

    Chase the stragglers

    Roughly a fifth of your list will not have replied. Ring them. Numbers firm up in this month and every supplier quote downstream depends on the count you give, so an accurate number now is worth more than a polite wait.

  7. 1 month out

    Final count and final payment

    Guest count locks, seating goes in, the balance falls due, and every supplier gets a bump-in and bump-out time in writing. Confirm who is allowed on site when. On a working property that answer involves gates and stock as well as a car park.

  8. The week of

    Deliver, confirm, hand over

    Drop off anything you're bringing yourself, confirm arrival times with each supplier, and agree what time the wet-weather call gets made and who makes it. Then hand the run sheet to somebody who is not you. The couple should not be answering a florist's phone call on the morning.

  9. The day after

    Checkout and the clean-up

    Find out the checkout time for every room you've booked and who collects what. Guests who stayed on site will want breakfast somewhere and a lift to an airport. Plan that on paper rather than at eight in the morning with a headache.

Most of your list will drive to a hinterland wedding, and a good share of them will drive back the same night. That single fact reshapes more of the plan than the seating chart does.

Tell them where to park and how long the last stretch takes. Rural driveways are longer than people expect and some of them are unsealed, which is worth mentioning to anyone bringing a low car or a walking frame. Put the address on the invitation in a form a maps app will resolve, and say plainly if reception drops out on the way in.

Decide early who is drinking and who is driving. A coach from one pick-up point costs less than the rideshares that would otherwise be chased at midnight, and a rural address does not behave like a coastal one at that hour.
